Privacy information

Fresake Removals privacy notice Last updated: 7 November 2026 Who we are Fresake Investments Ltd, trading as Fresake Removals, is responsible for your personal information. We are registered in England and Wales, company number 14626558. Registered office: 1 Coldbath Square, London, England, EC1R 5HL. Our removals service operates from Inverness. Contact removals@fresake.co.uk about your information or this notice. What we collect and why When you ask for a quote or book a move, we use your name, phone/email, collection and delivery addresses, access details, inventory, requested dates, correspondence and any optional photos. For booked work we also keep the agreed quote, service history and payment/accounting records. We use this information to assess and price the move, communicate with you, plan routes, carry out the service, keep required records and deal with complaints or claims. Do not include faces, identification documents or other unnecessary personal information in photos. If you give us another person's contact details, please ensure they know you have done so. We receive most information directly from you, and may receive relevant instructions from someone arranging the move for you. We also receive delivery, error and security information from our service suppliers. Basic connection information is used to protect the form against misuse. Our reasons for using it We use information needed to take steps at your request before a contract and perform a booked service. Legal obligations apply to necessary company accounting records. Our legitimate interests include proportionate security, keeping evidence of agreed work and handling complaints or claims. Optional marketing uses separate consent; it is not a condition of getting a quote. You can withdraw marketing consent at any time by emailing us, without affecting earlier lawful use. If essential addresses, inventory or contact details are missing, we may be unable to quote or provide the service. Photos and marketing consent are optional. Who receives information Only authorised staff can access the private job dashboard. We share the instructions needed for your move with the assigned driver/helper, and relevant details with insurers or professional advisers where needed for a claim or legal obligation. We do not sell your information. We use Oracle Cloud for website hosting, Google Maps Platform for address checking and road routing, Amazon Simple Storage Service (S3) in the AWS London region for offsite recovery backups, and Amazon Simple Email Service for outbound service emails. Google receives full routing addresses; emails include the information needed to communicate about your enquiry. The email relay currently uses an AWS US region. Suppliers may process information outside the UK. Their applicable data-protection terms provide transfer arrangements such as standard contractual clauses and the UK addendum, where required. Contact us for information about relevant safeguards. We may also disclose information where the law requires it. Estimates and bookings The website automatically calculates estimates, eligibility and time availability from the information entered and our pricing rules. A held time is not a confirmed booking. You may ask us to review an estimate or routing result. We confirm bookings separately; we do not use solely automated decisions with legal or similarly significant effects on you. How long we keep information Unaccepted enquiries with no booked work or payment are removed after 12 months without meaningful activity, once the requested move date has passed. If an enquiry led to booked work, payment or a claim, necessary records are retained instead of being treated as an unsuccessful enquiry. Routine photos are removed after 90 days from completion or cancellation/expiry of an enquiry, and not before a future booked move date. We preserve information longer only where needed for a documented complaint, claim or legal obligation; an owner retention hold prevents automatic removal while that reason applies. We review and release holds when no longer required. Necessary company accounting records are kept for six years from the end of the relevant company financial year, or longer if a specific legal requirement applies. We review older booked-job records and remove unnecessary information; retaining accounts does not require us to keep routine photos indefinitely. The automated retention check runs daily. Unreferenced upload files receive a 24-hour grace period before cleanup. Managed recovery backups rotate on a 30-day schedule, so a deleted item can remain in a restricted backup normally for up to 31 days. Backups are not used for routine customer access. Current retention deadlines are reapplied when a backup is restored before restored information is used. A documented legal preservation requirement can justify longer retention, which we keep under review. Security and cookies Job photos are stored outside the public website. Access to private records is restricted, and backups are kept in restricted server storage and private, encrypted Amazon S3 storage in the UK. No system can guarantee absolute security. We use essential cookies for owner login and security. This removals site does not currently run advertising or analytics cookies. We do not collect card details through this site. Your rights Depending on the circumstances, you can ask to access or correct your information, request erasure or restriction, object to processing based on legitimate interests, or ask for portability where applicable. Some records must be retained for legal obligations or claims. Contact removals@fresake.co.uk; we will normally respond to a rights request within one month, subject to the lawful rules for complex requests and identity checks. You can complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/ or through its published contact channels. You may contact us first, but do not have to. Changes We will update this notice when our service or data handling changes. The date above identifies this version.
